Your data will never be sold, rented, leased, or used for third-party commercial marketing.

1. Purpose of the Platform

Team Selector is a matchday and squad management platform purpose-built for amateur rugby clubs and their coaches, team administrators, players, parents, guardians, and spectators. It provides fixture planning, team selection, live touchline scoring, player availability tracking, match reports, and beneficial team communications.

2. GDPR & UK Data Protection Compliance

In compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, we adhere to strict data protection standards:

• Express Purposes Only: Personal data (including names, email addresses, contact numbers, dietary/medical requirements, emergency contact information, and match attendance records) is collected and processed exclusively for genuine team management, fixture coordination, player safeguarding, and club administration.
• No Data Selling or Commercial Exploitation: We will never sell, rent, license, or share your data or that of any associated players with advertisers, data brokers, commercial analytics firms, or any external third parties for marketing purposes.
• Data Minimisation: We only collect what is strictly necessary to run sporting fixtures safely and effectively. We do not collect credit card details or non-essential sensitive personal information.
• Confidentiality & Security: All communication is transmitted via secure encrypted connections and access is restricted to verified club and team members.
• Passwords & 2FA: Passwords are protected using industry-standard, one-way cryptographic hashing so they can never be retrieved or read in plain text by anyone. For added security, optional two-factor authentication (2FA) is available across all user accounts at the user's discretion.

3. Safeguarding & Player Privacy

Player welfare and safety is our highest priority:

• Squad rosters, shirt numbers, and player names are protected behind verified account access and are never displayed publicly to unverified visitors.
• Parent, player, and spectator registration requests must be reviewed and approved by verified team coaches or club administrators before access to match squads or lineups is granted.
• Dietary and medical notes (e.g. allergies, EpiPens) are kept strictly confidential and surfaced only to verified coaching staff and authorized club officials for matchday catering and touchline player safety.

4. Account Security & Acceptable Use

By registering an account, you agree to:

• Provide accurate, up-to-date, and truthful information during registration.
• Keep your account login credentials secure and confidential.
• Use the platform respectfully and avoid publishing any abusive, unlawful, or unsporting content.
• Ensure that any match photographs uploaded to match reports adhere to your club's photography and safeguarding policies.

5. Data Retention & Your Rights Under GDPR

Under UK GDPR, you have the following rights regarding personal information:

• Right of Access: You can request a summary or copy of the personal information stored about you and your linked player(s).
• Right to Rectification: You can update or correct your account details at any time.
• Right to Erasure ("Right to be Forgotten"): You may request complete deletion of your account and associated personal data by contacting your club administrator or team coach.
